Operation Encompass
Dear Partners,
We are pleased to announce the scheduled launch, next week, of our new automated process for sending Op Encompass notifications. By developing and implementing these new automated steps, we aim to improve the efficiency and promptness of our information sharing practices.
Information Security Protocol
- Each email notification will include an encrypted Word document containing the child’s name and date of birth (DOB).
- If your school does not immediately recognise the child’s details, which will be outlined in the subject of the email, you must not open the attachment. Instead, notify us immediately via email at our dedicated inbox: encompass@thamesvalley.police.uk
New Password Structure - effective from 15 December 2025:
- Password Structure: DDMMMYYYY (this is the date the email was sent to you)
- Format: Two numerical digits for the day, three-letter uppercase month abbreviation, and four numerical digits for the year.
- Example: 01DEC2025
Hyper-Care Phase and Feedback
During the initial hyper care period, we request active feedback from all receiving schools to assist us in promptly identifying and resolving any issues. Please direct all queries, concerns, or identified discrepancies to our dedicated inbox: encompass@thamesvalley.police.uk
Update for Local Authorities
Following successful implementation for schools, spreadsheets concerning children without linked schools will be routed directly to Local Authorities, bypassing TVP MASH inboxes. Completed sheets must be returned to the automated sender email address.
This change will reduce delays and improve efficiency. Spreadsheets will also be updated to include all newly opened or renamed schools.
