It’s important to keep your personal information up-to-date in Employee Self Service (ESS) and here’s why.

  • In an emergency

In case of an emergency, having up to date contact information means managers can quickly reach out to the right person.

  • Making sure you’re paid on time, to the right account

Accurate addresses and bank details are essential.

  • Giving you access to your important information

Up-to-date contact details (work and personal email addresses) means important information reaches you (for example pension updates).

Updating your personal information is especially important now, as final payslips and P45s (you get a P45 when you leave a job and it shows how much tax you’ve paid on your salary so far in the tax year) will be sent to leavers by email, using your personal email address. 

Don’t forget to check disability, religion/belief, ethnicity and gender identity information and update it if it’s missing.

Actions

Use Employee Self-Service (ESS Lite) to check your payslip every month and also update your personal details.

If you aren’t registered to use ESS it’s easy to do and you can access your payslip, notifications, update your information etc. whenever you want to, because you access it through your mobile phone, personal device or computer. 

and follow the steps. 

You’ll need your:

  • personnel number – ask your line manager for this
  • National Insurance (NI) number.

Note:  you can’t edit some fields, for example, nationality. If this information is incorrect or missing, you should raise an IBC enquiry to get the information updated.
